HazelGrove Early Childhood Education is seeking an organised and friendly Administration & Enrolment Officer to support enrolments and family administration across our growing group of early learning services.

Based at our Head Office in Rhodes Waterside, this role is ideal for someone who enjoys working with families while managing systems and processes behind the scenes.

Key Responsibilities

Manage administration systems as directed including:

  • Manage administration systems as directed including:

» general administration such as mail 

» accounts support as directed such as lodging invoices

» transfer and referral documentation 

  • Manage new enquiries (phone, website & email) and coordinate centre tours with Directors
  • Maintain waitlists and follow up with prospective families
  • Maintain enrolment processes; and ensuring all documentation is completed and allocated according to requirement enrolment offers and ensure all documentation is complete
  • Perform customer service, telephone and reception duties.
  • Upload immunisation records and manage enrolments through OWNA
  • Provide iCCS guidance and assist with ACCS where required
  • Ensure fee schedules, bonds and subsidy details are up to date
  • Respond to family enquiries regarding accounts, invoices, day changes and withdrawals
  • Liaise with Centre Directors regarding new enrolments and important child information
  • Ordering such as for housekeeping and general office.


About You

  • Strong administration and organisational skills
  • Excellent communication and customer service approach
  • Experience in administration (ECE experience highly regarded)
  • Familiarity with CCS and OWNA desirable
  • Ability to manage multiple services and priorities
  • Maintain appropriate levels of confidentiality.
